All records must be retained for a minimum of four years and should be organized to simplify potential audits.
Quarterly Fuel Tax Reporting
IFTA requires you to file a fuel tax report every quarter—even if:
- No operations were conducted
- No taxable fuel was used
This report determines whether you owe additional tax or are eligible for a refund.I
IFTA Stickers and License
You must:
- Display current IFTA decals on each qualified vehicle
- Keep a copy of your IFTA license in each vehicle
These are your proof of compliance while operating in IFTA jurisdictions.
Audits

1. IFTA Account Setup

- DOT / MC Number
- FEIN (Taxpayer ID)
- President’s name and Social Security number
- Correct physical business address (no P.O. Boxes)
- Phone number and email
- Copies of truck registrations (and lease agreements, if applicable)
- Number of decal sets needed
2. Quarterly Filings
To file your quarterly IFTA report, provide:
- A copy of your current IFTA license
- Total miles traveled in each jurisdiction
- Total gallons of fuel purchased in each jurisdiction

3. Renewals

- Name of individual or corporation
